# Publishing Best Practices

## NHSAA Tax Cap Video

### General Sharing Tips

We want you to share our videos in as many ways—and on as many platforms—as we can conceive together. We’re always here to help you format, encode, and publish your video according to the specs you need to get the most engagement.

Each of these venues requires different techniques to maximize engagement. We’ve created these instructions below for your use. When publishing videos, it’s important to ensure they are accessible to all viewers, including those using assistive technologies. This includes considerations like captions, descriptive text, and navigable content. We’re always here to screen share and help you walk through these steps on your specific platform.

### Website Publishing

By embedding the video on its own dedicated page (or a page of the web site related to the topic), you create an “anchor point” that always ensures you can direct viewers to a permanent link. Just as important, it makes sure your viewers are watching the video *in your information ecosystem* and, hopefully, they’ll browse around for more information when they’re done viewing.

Embedding the video on a page on your website will plant a visual cue to draw the viewer in more effectively. To place the video on your website, some platforms will ask for a Vimeo link while others will ask for the embed code:

Vimeo link: [https://vimeo.com/1225445931](https://vimeo.com/1225445931)

Embed Code (copy and paste everything below, including the \<\> brackets):

`<div style="padding:56.25% 0 0 0;position:relative;"><iframe src="https://player.vimeo.com/video/1225445931?badge=0&amp;autopause=0&amp;player_id=0&amp;app_id=58479" frameborder="0" allow="autoplay; fullscreen; picture-in-picture; clipboard-write; encrypted-media; web-share" referrerpolicy="strict-origin-when-cross-origin" style="position:absolute;top:0;left:0;width:100%;height:100%;" title="NHSAA: Tax Cap HB1300"></iframe></div><script src="https://player.vimeo.com/api/player.js"></script>`

If we produced your video in “pillars,” (you’ll know this if we did), also think about different places on your website where a shorter pillar video might be useful. This might be in a visual FAQ page, or a deeper section of a topic that specifically addresses what a pillar video discusses.

#### ADA Compliance

- When embedding videos, ensure the page’s headings follow a logical structure so screen readers can navigate easily.
- Include descriptive alt text for video thumbnails and links. For example, ‘[Watch NHSAA Tax Cap video](https://vimeo.com/1225445931)’ rather than just ‘Click Here.’
- Ensure buttons, links, and visual cues meet contrast requirements and can be navigated via keyboard or focus indicators for users with low vision or motor impairments.

### Publishing to Email

This is the trickiest publishing method, and varies widely by email platform. The most important thing to know is that video can’t be embedded into email. This is because video files are huge, and would shut down your email server if you tried to attach them and send them to a large number of recipients.

To get around this, you can insert a visual thumbnail in your email.

![NH-NHSAA\_ Tax Cap HB1300 \_ GIF for Email](https://kartoonedu.com/hubfs/NH-NHSAA_%20Tax%20Cap%20HB1300%20_%20GIF%20for%20Email.gif "NH-NHSAA_ Tax Cap HB1300 _ GIF for Email")

We’ve included two types of thumbnails in your [share drive](https://drive.google.com/drive/folders/1p2AC7HIuNVo0-757-sJ7B_GNVnx85_hH?usp=sharing):

- Animated GIF thumbnails that look like a video you can click on
- Static video thumbnails for when your email platform won’t accept a GIF

Using a visual cue like a thumbnail invites the user to watch the video at a much, much higher engagement rate than including a text link.

*Most importantly*, before you send the email, you need to link the thumbnail to your video! Highlight the image and attach a link (or use your email platform’s functionality). Use the permanent link you created to your website (instructions above) where the video is located. This, again, drives traffic to your website for viewers to stay and view more information. Don’t use the Vimeo link we provided you for this link. While the Vimeo link will allow the viewer to watch the video, they’ll do so on the kartoonEDU Vimeo page and—while we always appreciate the visitor traffic—misses a great opportunity to drive traffic to your site.

#### ADA Compliance

- Even in email, ensure clickable elements are clear and accessible via keyboard navigation where possible.
- All thumbnail images should have alt text describing the video content for screen readers.
- Link thumbnails to accessible, captioned video pages rather than directly to video files.

### Publishing to Social Media Platforms

No matter the platform, every social media platform will deliver better engagement to your video if you directly upload the video file to their platform. Engagement for shorter videos is always best, so if we produced your video in “pillars” (you’ll know if we did), you should consider creating separate posts for each pillar video, to turn your topic into a series, rather than one long post. Social stories are a great way to engage younger audiences. Add a poll and engagement skyrockets!

To direct-upload your video to your social media platform:

- Download the individual video files from [NHSAA Video Google Drive folder](https://drive.google.com/drive/folders/1p2AC7HIuNVo0-757-sJ7B_GNVnx85_hH?usp=sharing).
- Create a new video post on the social platform and select the individual video you'd like to publish.
- Create a 100-200 word caption to introduce the video.
- In the caption, always include your permanent URL link to your website to direct viewers to more information.

#### ADA Compliance

- Where possible, upload caption files with the video to ensure hearing-impaired viewers can access the content. Include descriptive text in your post to summarize the video.
- Ensure any graphics, text overlays, or CTA buttons have sufficient contrast and are readable without color alone conveying information.

### Publishing on Closed Circuits

When sharing a video with a captive audience, you also want to download the video in mp4 format. You can find this in the [Google Drive folder](https://drive.google.com/drive/folders/1p2AC7HIuNVo0-757-sJ7B_GNVnx85_hH?usp=sharing) we shared above. If you’re presenting the video to a live audience, for example, having the mp4 video file on your device eliminates the need for the internet, preventing streaming issues. If you’re displaying the video on another closed circuit, such as cable access TV or on monitors in your building’s lobby, the person responsible for broadcasting this content will want this file to add to their program.

#### ADA Compliance

- If videos are displayed on monitors, ensure text and graphics are legible at typical viewing distances. If possible, provide captions or transcripts for viewers who cannot hear the audio.

#### General Accessibility Best Practices

- Captions: Always include captions for all videos.
- Descriptive Links & Alt Text: Avoid generic phrases like “Click Here.”
- Keyboard Navigation / Focus Indicators: All interactive elements should be navigable via keyboard.
- Color & Contrast: Don’t rely on color alone to convey meaning; ensure sufficient contrast.
- Headings / Logical Reading Order: Use headings to structure content clearly for screen readers.
- Transcripts: Provide text transcripts for longer videos.
- Social Media & Email: Include alt text for images and captions for videos whenever the platform allows.
